  2. Who participates in ERS-Canada?

    Railroad-based companies, trade associations or any other related enterprise that maintain operations in Canada may submit a request to subscribe to ERS-Canada.

    Additionally, contractors, vendors, suppliers and other businesses that provide support services to the Canadian railroad industry also subscribe to ensure compliance with the requirements of their clients who participate in the ERS-Canada program.

    Typical ERS-Canada subscribers can include:

  3. How does this service work?

    Railroad Operators and related Enterprises that operate in Canada sign-up to become subscribers and login to create their own Workplace Compliance program(s). These organizations then mandate that their personnel and/or contractors comply with the program(s) in order to be eligible to access select facilities and jobsites or to receive associated credentials.

    As part of these efforts, contractors and personnel may be required to complete the following:

    • Personnel Screening-Background Checks
    • Compliance Awareness- Training & Testing
    • Workplace Credentialing-Photo ID badges/Certificates

    Subscribers can monitor and manage the entire process from one web-based platform designated as ERS-Canada.

  4. How much does this service cost?

    A one-time non-refundable Sign-Up Fee is required to become an ERS-Canada Subscriber.

    Additional fees are assessed for organizations that use the system for their internal workforce or to create their own Compliance Program(s).

    Contractors, Vendors, Suppliers and Subcontractors who are required to participate are responsible for all costs associated with meeting the requirements of the Compliance Programs in which they have enrolled.

    Organizations who maintain Compliance Programs on the system have negotiated the prices to the lowest possible denominator, to minimize the impact on their contractor/vendors.

    This "Pay-to-Play" model enables ERS-Canada subscribers to save millions of dollars in screening and credentialing costs, without sacrificing security.

  4. Why does ERS-Canada need my banking information?

    e-VERIFILE provides its risk assessment information to legitimate organizations and businesses and does not sell this information to consumers. As a result, the company requires that all subscribing businesses/organizations provide basic banking information including the name of the financial institution, a relevant contact name and phone number in order to verify that they have an account with a financial institution.

    This information is used as part of e-VERIFILE's Due Diligence process to confirm the subscribers' eligibility to receive risk assessment information as a legitimate enterprise.

  5. Can I use this service for my own workforce as well as Contractors/Vendors?

    Yes, once you become a subscriber you simply log-in, select the WORKFORCE action tab and follow the instructions provided.

    Yes, for your convenience our system can allow you to have several users and they can access the system from different locations. Simply log in and click MY ACCOUNT, select the PREFERENCES button and follow the instructions provided.

  7. What if I am already a subscriber to an e-RAILSAFE Program?

    As an e-RAILSAFE subscriber, you will NOT have to complete a new Customer Profile for ERS-Canada. However, you will need to confirm that the info in your profile is current. You will also need to download, sign and fax back the ERS-Canada Subscriber Agreement to complete your subscription to this service.

    Additionally, your ERS-Canada account will be enabled with QuikCHEK to avoid duplicate charges and reports.

    QuikCHEK automatically runs a scan of recently entered subject(s) to determine if they have been previously screened through e-RAILSAFE, e-RAILSAFE Short Line and e-RAILSAFE Canada compliance programs assigned to a subscriber.s account.

  3. How do I submit my Customer Profile?

    Simply CLICK HERE to begin the Subscription Process and follow the instructions provided. Your profile will be automatically sent to ERS-Canada upon completion of the required forms and the Sign-Up fee has been charged to your credit card.

    Please remember to print, sign and fax the required Subscriber Agreement to complete the Subscription process. Signed Subscriber Agreements should be faxed to (770)859-0717.

  4. Why does ERS-Canada need my banking information?

    e-VERIFILE provides its risk assessment information to legitimate organizations and businesses and does not sell this information to consumers.   6. What is Registration?

    Subscribers on the ERS Canada system are required to obtain permission to register with each organization on the system in which they seek to develop an association. Subscribers can request permission via the system by logging in and accessing the MY COMPLIANCE tab.

    Subscribers that are granted permission to register submit their registration request via the system and complete any additional requirements. Each organization maintains its own unique registration criteria, so there may be additional requirements that would have to be satisfied before each registration is approved.

    Subscribers are notified of the status of their registration requests via e-mail. If the registration is approved, the subscriber is authorized to assign/enroll their personnel with the organizations in which they are now registered.

    PLEASE NOTE: ERS-Canada Subscribers must be registered with an organization on the system in order to assign/enroll personnel to the compliance programs associated with that organization.

  7. How am I supposed to get pictures of my employees to ERS-Canada?

    There are several methods to choose from:

    • If you have a digital camera simply take the picture and upload into the ERS-Canada system when prompted (remember to keep your camera on a low resolution so you don't go over the 500kb limit)
    • If you do not have a digital camera, we can refer you to a site to purchase for around $80. If you do not wish to use a digital camera, then you can have employees bring in a photo of themselves (must be a clear face shot, no hats, sunglasses etc.) and you can scan it into your PC and then upload into ERS-Canada when prompted.
    • If you do not have a scanner, any local department store or photo center can provide this to you. You can upload several hundred photos onto a disk for just a few dollars
    • The ideal resolution of an image: 640 X480 Pixel Size.

  11. Why an extra $55.00 surcharge for some New York addresses?

    In July of 2003, the state of NY changed their policy on reporting felony and/or misdemeanor record information. For certain counties, there is no longer a county seat available that reports felony or misdemeanor records. All information is forwarded to the state level.

    A NY statewide search is $65.00; however, all ERS-Canada clients are given a $10.00 discount to automatically order the NY statewide if applicable. As a part of the ERS-Canada program, the NY statewide is required if any of the addresses yielded per employee turn up in the specified restricted counties. Each ERS-Canada client is notified of the NY surcharge during the account setup process.

    This program facilitates Personnel Screening, Compliance Awareness and Testing, and Workplace Credentialing and related Communications in compliance with industry standards and as required by the Railroad Operators/Enterprises that subscribe to this system.

  2. Who is required to participate?

    Each organization that subscribes to ERS-Canada requires its internal or contractor workforce to complete compliance requirements to gain access to key facilities or obtain credentialing.

    Each ERS-Canada subscriber maintains their own criteria for their programs and is solely responsible for granting/denying access to their own facilities and issuance of credentialing.

    As a result, refusal to participate in Compliance Programs mandated by participating subscribers may result in denied access to designated worksites.

  3. How much does this cost?

    The cost of applicant/employee participation in Compliance Programs maintained on this system is covered by their employer.

    Employers participating in the program are responsible for all costs associated with meeting the requirements of the Compliance Programs in which they have enrolled and assigned to their personnel.

    There is no direct charge to applicants/employees that are required to access this system.

  6. What if I am "DENIED" by the ERS-Canada System?

    Denied subscribers have the right to appeal a denial decision by completing the Appeal Process.

    As part of this process, denied Contractors or applicants/employees will be directly informed of the decision by the denying organization. These notifications will be issued in print and electronic forms which are generated by the ERS-Canada System.

  7. How long does it take to get my ID badge?

    Usually 2-3 business days depending on when you complete the compliance orientations/tests and when your employer has uploaded all of the required information. In most cases, the badges are issued to your employer for final distribution.

    PLEASE NOTE: Some organizations that subscribe to ERS-Canada may have their own procedure for obtaining and issuing the ID Badges for personnel.
